Lecture recording recommendations

EPFL recognises the benefits to students of the ability to revisit all or part of a lecture, and of having recorded lectures for particular groups of students, for example those with certain learning difficulties or for disabled students as part of a reasonable adjustment under their Specific Arrangement (LEX 2.6.5).  
It is therefore that EPFL aims that all course lectures be (pre-) recorded and these audiovisual recordings made available to students or publicly.

Recording lectures

All lectures can be recorded:

  • in lecture-recording enabled rooms; or
  • when they take place via ZOOM or another online live-stream facility; or
  • using own equipment or with support of the audiovisual services at EPFL

In al cases, by default the audio and visual feed can be captured, except when: 

  • the primary mode of delivery in the course is not conducive to capture and release of the recordings, and provides limited pedagogical benefits for students; or
  • the release of lecture recordings leads to increased risk of copyright infringement and other options to manage the risk are are impractical; or
  • lectures in a course contain personal information or use case studies which, if released, may infringe privacy or confidentiality, and other options to manage these concerns are impractical

All students and TA’s should be informed that a recording is being made prior to the recording.

Where a session is student-led or students are the main contributors, such that their contributions could give rise to independent rights, the member of staff organising the session will need to ensure that each student completes a Copyright Release form for Presenters in advance of any recording being released. 

EPFL also operates two recording studios that are available for EPFL staff members to record lectures or tutorials. 

Lecture distribution

The EPFL encourages teachers to publish their lecture recordings as an open resource, with an appropriate attribution, licence and having obtained any permissions required from other presenters/students or third parties whose intellectual property resides within the recording. Guidance on this is contained here.

Access to recordings is best provided directly via mediaspace.epfl.ch, or indirectly via EPFL’s learning management systems MOODLE or courseware.epfl.ch, as these platforms are available on-line to all students. If a teacher wishes to host material on open platforms, for example YouTube and GitHub, they must ensure that the location of this material is well sign-posted, available on-line to all students.

Data privacy

With regard to personal data processed in the making and sharing of recordings with students, and with reference to the EPFL’s privacy policy, the EPFL deems the recording of lectures to form part of the EPFL’s public interest tasks and legitimate interests in furthering the educational objectives of the institution, and therefore does not necessarily require consent from all students or TA’s before proceeding. If both of the following conditions are met, then a student’s consent for data protection reasons is not required: 

  • the student/TA has been notified in advance that the session will be recorded; and 

  • the student/TA has been notified that they have the right to object to being recorded, and informed of what action, if any, they may take to avoid being recorded.
