EPFL offers to every staff or student an email, calendar and contact management system based on Microsoft Exchange.

You can easily configure your account on your device (Windows, MacOS, Linux, iOS, Android, etc…). More information here.

Your Mailbox is accessible also using as web browser .

An antispam filter is also activated by default and can be configured here.

SV-IT can help you to :

EPFL provides a visioconferencing system named Zoom.

Zoom allows the :

  • Direct or delayed retransmission of seminars, conferences, thesis defence, presentations, meetings…
  • Virtual gathering of different rooms, geographical area or working group
  • Communication in a working group with up to 50 or more simultaneous participants via the webinar option (10’000 viewers)
  • Screen or application sharing to a remote correspondent
  • Anything requiring remote communication.

SV-IT offers a extensive support for the use of Zoom, the configuration of conference rooms or setup of live broadcast and video recording.

Do you know when your computer and data were last saved ?

If you can not answer this question, then you need to worry and contact the SV-IT HelpDesk as soon as possible. We can advise you on the use of the EPFL IT services that are the best suited to your needs in order to minimize the risk of losing your data.

To protect yourself, EPFL offers a complete backup system for your personal computer. It is provided for free by the VPSI. The system is Win / Mac / Linux compatible and respects the protection of your personal data. To benefit of this system, please send us an email so we can grant for a license.

NOTE : Please do not forget to activate the client once installed.

This back-up system is intended only for EPFL employee’s laptops.

Each user can back up two computers (one Mac, one Windows) while remaining within a 500GB quota per user.

The default configuration of inSync backs up only the user directory (/Users/* OR \Users\*), but you can manually add additional directories to be backed up.

SV-IT is committed to support this service, but it is the responsibility of the user to control that the backup is actually done. InSync sends an alert message to the user when his backup is not done after a week delay.

Please contact the SV-IT Helpdesk promptly if you are alerted of an anomaly in your backup.

In case of data loss, file recovery can be done either :
 
  • By yourself directly via the web at https://insync.epfl.ch
  • By the SV-IT team, with your approval (checkbox) in the inSync client installed on your computer.
 
The backup has a 90 day retention.
 
Please be aware this system is not intended to be an archive. When you delete data from your computer, inSync will only retain it for 90 days and then delete it as well.

In June 2019, EPFL decided to issue a new Directive because, although EPFL provides its employees with all the computer equipment they need to do their jobs, some employees use their personal computer equipment for work-related tasks, and some unit heads ask their PhD students to perform work on their personal computer equipment.

“Personal computer equipment” here refers to all hardware and software used to process and send data – such as smartphones, laptops, PCs, tablets, external hard drives and cloud services – and that belong to or are rented by an employee or are provided to an employee by a third party.

The new Directive does not change your requirements in terms of making sure that you have the appropriate licenses for any software you use on your personal computer equipment and that you are authorized to install that software on your private equipment. The introduction of this new Directive is a good opportunity to check your software licenses, which you can do here.

What does change is that you can no longer obtain new software by adding your personal computer equipment to EPFL’s accounting inventory. Personal computer equipment that is currently on the list will eventually be removed. Having computer equipment on the list during the interim period will not give you the right to have software installed.

From now on, you will be required to clearly indicate any professional data that you have stored on your personal computer equipment, using the resources we provide. This could entail, for example, moving the data to a drive whose name clearly indicates that it contains professional data.

You must also regularly back up any such professional data on an EPFL drive. Your unit manager will indicate how often and where you should back up the data based on how important they are. We can provide you with an automatic back-up system if you like; contact your local EPFL tech support desk (SV-IT) for more details.

In addition, you should make sure that any personal computer equipment you use for professional purposes is fully secure. At a minimum, we suggest you install the latest antivirus software and activate automatic scans, regularly update your operating system and all software and applications you use, password-protect your device and use a screen saver with a password. These are basic but effective measures.

Employees who have sensitive data – such as data subject to professional confidentiality laws, Switzerland’s data protection act (Loi sur la protection des données) or the EU General Data Protection Regulation – stored on their personal computer equipment must encrypt the storage device (whether it is a hard drive or a USB stick) after backing it up. The encryption key should be stored in a separate, secure location. More information is available on the IT Security website.
