Electrical Needs and Installations for Events

The Electrical Operations Unit (EXPL-ELEC) is responsible for existing installations, their proper functioning, their setup, and the safety of electrical systems on EPFL sites. It also provides support in case of additional needs related to events.

Requests, Loans, and Electrical Installations

As part of the logistical needs for events, the use of electrical installations or additional equipment may be required. The “Electrical Equipment Loan Form for Events” must be attached to the event organization request. Whenever possible, existing installations should be used, ensuring the proper and safe use of the electrical equipment already in place.

If temporary installations or electrical equipment are required:

  • The electrical request form must be submitted via the “Events” form, accompanied by a detailed site and layout plan.

  • A work request (DI) will be submitted through Mediacom Events (MEV) to EXPL-ELEC.

  • After reviewing the request, EXPL-ELEC will confirm the requirements in terms of electrical connections, electrician intervention, and the provision of the necessary equipment. If the installation of electrical equipment (e.g., power strips) requires more than 2 hours, the ISS company must be contracted at the expense of the organizers.

The organizers and the responsible person from EXPL-ELEC coordinate together for the installation.

Organizers are responsible for returning the borrowed equipment to EXPL-ELEC. In case of loss or damage, the equipment will be charged to the organizers. Please note that all borrowed material must be returned clean.

Important Reminders

  • Only EPFL Operations staff are authorized to open an electrical panel.

  • Organizers are responsible for connecting their devices to the installation provided by EXPL-ELEC. They are also responsible for ensuring that their devices comply with current standards (including SNG 482638).

You can purchase EPFL gifts, goodies and T-shirts at the EPFL Shop or directly in La Boutique.

You can also have promotional items created specifically for your event, as long as you follow Mediacom’s visual communication guidelines.

We suggest you create a webpage for your event in order to communicate about it more effectively. Your webpage must follow the EPFL brand guidelines and contain the EPFL logo.

Our Graphic Generator application can help you create posters, banners and other marketing materials that are consistent with EPFL’s brand guidelines.

MCV is your point of contact for all questions and requests related to EPFL’s brand identity. Its staff can help you produce communication materials for your event or promotional campaign, or design a report or illustrate a publication that will be issued under the EPFL brand.

Memento is EPFL’s online calendar listing all our School’s main events. It’s visible to people both inside and outside EPFL. Anyone in the EPFL community can post an event on Memento – this ensures all events get good visibility.

Tips for using Memento

Events posted on Memento also appear on the EPFL Campus app. Mediacom Events may decide to promote a specific event further by displaying it on the Events page of the EPFL website.

Students can sign up to the Memento groups for specific associations and receive weekly emails.

At EPFL, we strongly encourage event organizers to use reusable tableware for their events. We introduced a service on 21 September 2021 to make it easier for our community members to switch from disposable tableware to a more environmentally friendly option.

Poseidon is EPFL’s technical support service for personal laptops. It also provides buying advice and rents out equipment for events and emergency replacement purposes. Complete this form to request an equipment rental.

The EPFL Print Center provides digital, offset and large-format printing, binding and graphic-design services. It can be used by anyone in the EPFL community for education-related purposes,

to promote their department or student association, to communicate about their events, or for personal, non-commercial projects.

You can order arrow-shaped signs from the EPFL Print Center to help participants find your event on campus.

The standard authorized order is 32 black-and-white arrows, A3 size, no logo (CHF 1 per arrow).

Placing the arrows around campus yourself
We suggest you start at the metro exits and parking lots and then proceed along the route to your event. Be sure to tell the Print Center where you plan to put up the arrows.

Having the arrows placed by ISS
Mediacom Events can hire ISS to post signage for your event, at your expense. If you would like to request this service, please either indicate this on the Events form or, if you have already booked an EPFL room or service, by sending an email to [email protected].

Hiring student assistants for your event

Student assistants

You can hire student assistants to help with a number of event-related tasks, such as:

  • handling some of the pre-event administration
  • greeting participants
  • providing various other kinds of assistance during the event

Student assistants must be hired directly by the entity organizing the event. Learn more



Technical-support student assistants

These are student assistants who have been trained and are supervised by Mediacom Events. They can provide additional technical support during your event, particularly for equipment used in “event mode,” which is more involved than the standard “teaching mode.”

Hiring technical-support student assistants is mandatory for some types of events and venues.

Mediacom Events and EPFL’s Audiovisual Department will determine how to best meet the needs of your event.

Technical-support student assistants are hired by Mediacom Events depending on the specific needs of the given event.

EPFL offers a range of tech support to help you resolve IT problems. This support is provided by the Service Desk as well as our expert technicians and online support-ticket system.
