Travel agency

CWT is the dedicated travel agency for EPFL. As of 2023, members of the EPFL community will have to make their air travel and hotel reservations through the central travel agency. This is in order to comply with the new guidelines for business and student travel.

CWT is present in over 140 countries. This innovative company has a history of over 150 years. In 2021, it was awarded the EcoVadis Platinum Medal for its environmental commitment.

This travel agency is at your disposal at EPFL for the organisation of your professional and student travel. Specialised in business travel, its agents are present on campus. They will manage your reservations for flights, hotels and rental cars. 

CWT can also take care of your special requests, such as assistance for people with reduced mobility, transport of scientific material or travel insurance cover.

Train travel can be organised as a priority via the EPFL ticket shop or the tl sales point at EPFL.

The portal provides access to the traveller profile. It also provides information about your destinations and any other data that will help you make your journey easier.

The mobile application makes life easier for travellers and travel organisers. Free for the EPFL community, the myCWT application allows you to manage your reservations, cancellations, program changes, etc.

All bookings made through CWT are automatically transferred to CIBT to determine the need for a visa in order to facilitate the process. However, members of the EPFL community remain free to make their own arrangements.

Plan your flight

Prior to any reservation, each employee must make a travel request via SESAME. In the expense report tab, please click on “my travel requests” and then on the small “+” at the bottom of the page.

Once the request is validated, you can contact the travel agency by phone (+41 58 322 24 30), by e-mail or by coming directly to its offices (CE 0 212).

The offers proposed correspond to the best compromise in terms of price and connections, in compliance with the EPFL Travel Directives.

The profile must be updated by the traveller before booking via the link https://travel.mycwt.com/login or the smartphone application MyCWT.

The Central Technical Service Team (TSC) is available to assist you in updating your profile.  You can contact them between 08:00 and 17:00 by e-mail or by phone (+41 58 322 24 30).

Please ensure that the following information is up to date in your profile before booking.

  1. Information about the traveler:
  • Nationality
  • Date of birth
  • Cell phone number
  • Passport number and expiration date
  • SCIPER number (EPFL unique identification number)

IMPORTANT: Your profile must match your identity document.

      2. Travel information:

  • The number of the approved EPFL Travel Request
  • The destination
  • Travel dates
  • Desired departure/arrival times
  • Whether hand luggage or checked luggage
  • Fare flexibility (refundable, changeable)
  • If you have any seating preferences
  • Other preferences

For outsiders/guests, a traveler profile will be created by the travel agency (CWT). For this purpose, please provide the following information before booking.

       1. The traveler’s information:

  • First and last name corresponding to the passport used by the traveler
  • Gender
  • Date of birth
  • Nationality
  • Cell phone number
  • Passport number and expiration date
  • Traveler’s email address
  • The registration number (automatically generated when the travel request is created)
  • The SCIPER number (EPFL unique identification number)

      2. Travel information:

  •  The number of the approved EPFL Travel Request.
  • The destination
  • The travel dates
  • Desired departure/arrival times
  • Whether hand luggage or checked luggage
  • Fare flexibility (refundable, changeable)
  • If you have any seating preferences
  • Other preferences

The addition of any private trips before or after the business trip is possible. The traveller pays for the private part of the trip directly to the travel agency. Payment must be made by private credit card.

It is possible to order a ticket for a private accompanying person; a handling fee of CHF 50.00 will be charged by the travel agency.
