Plan a business travel

  1. Inform your supervisor about your trip and get his or her approval.
  2. Prepare your travel request.
  3. Have the travel request validated by your supervisor or the delegated person before any purchase.


ID documents

Check the validity of your identity documents: passport, ID card or residence permit. If you have to order such a document, you will be responsible for the resulting costs.



You can check the CIBTvisas portal to see if you need a visa, or any other form of entry permit to the country of stay. If that is the case, the costs incurred are considered as professional expenses and are to be charged to the trip.

If you book your trip via the EPFL travel agency, you will automatically be informed by e-mail when a visa is required.

Remember that obtaining such a document can take time: be sure to start the process as soon as your travel date is set.


Safety check before departure: don’t forget your vaccinations!

Check the vaccinations required in your destination country. The costs incurred are considered as professional expenses and, therefore, are to be deducted from the trip.


Accidents and illnesses: who covers what?

The Suva covers EPFL employees in the event of accidents, in Switzerland and abroad. Health insurance is the traveler’s personal insurance.


Assistance – International SOS

EPFL offers medical and security assistance to travelers through International SOS.
